Prepare Visa application information and letter
To help people come to GUADEC we Visa invitations need to be send out. Note that the fact that we are offering invitation letters is generally not widely advertised (i.e. not on the main website) to prevent fraudulent requests.

Get legal advice from an immigration lawyer (requires funding)

Research Visa situation for your country (Schengen is standardised but may still differ somewhat) - This e.g. includes checking for possible liability issues when a person does not return to their home country.

Decide (team meeting) and document who will write the letters (possibly using a specific role such as board member of a local club) -
Draft visa letter is written -
Visa requirements and application process is documented - Remember that for many students this will be the first time they leave their home country. Detailed information is important to prevent errors and ensure a smooth visa application process for them.

Core team (and previous organisers) have reviewed the letter and documentation
